Accounting Assistant Job Overview
The Accounting Assistant plays a vital role in assisting the finance and administrative team for a growing custom home builder. As an Accounting Assistant, you will support bookkeeping functions, vendor management, and general office administration. Key Responsibilities
- Assist the bookkeeper in maintaining accurate company financial records using QuickBooks Online.
- Enter and classify invoices and receipts efficiently in QuickBooks, ensuring all transactions are properly documented.
- Review and process payments to subcontractors and vendors, and reconcile entries to maintain up-to-date records.
- Prepare a variety of financial reports to support management decision-making and ensure regulatory compliance.
- Collect and organize documentation related to subcontractors and subcontracts, including W9 forms and insurance certificates.
- Monitor and track expiration dates for subcontractor insurance policies to ensure ongoing compliance.
- Oversee the organization and replenishment of office supplies to maintain a productive work environment.
- Handle ancillary general administrative duties as assigned by management to support office operations.
- Staff the reception area, answer incoming phone calls, and provide a professional and welcoming environment for guests and visitors.
Qualifications and Requirements
- Demonstrated experience in accounting or bookkeeping, preferably with hands-on use of QuickBooks Online.
- Exceptional organizational skills with keen attention to detail to ensure accuracy in all financial and administrative tasks.
- Proficiency in Microsoft Excel, including the ability to create spreadsheets and analyze data efficiently.
- Strong time management abilities to prioritize tasks and meet deadlines in a fast-paced office setting.
- Excellent written communication and interpersonal skills, with the ability to work collaboratively with team members and external partners.
